Users Overview

This section displays the available options for creating and managing other users in the Qsuite, or changing your own password.

Change My Password

Reset/update your password.  When changing your password, you must abide by the following criteria:

  • You cannot use one of your last 4 passwords.
  • Must be between 6-50 characters long.
  • Must contain at least one (1) UPPERCASE letter.
  • Must contain at least one (1) lowercase letter.
  • Must contain at least one (1) number.

Special characters are permitted, but not required.

 

Click [Reset Password] to save your changes.

 

Manage Users

Navigate to the list of Users set up in your Qsuite.  Using the Actions icons on this table, you can Edit a user’s permissions, Copy a user to create a new user with identical permissions, Reset a user’s password, Unlock a user, or Delete a user.  If you have more than 10 users, you can navigate to additional pages in the table by selecting a page number at the bottom of the list.

To create a new user, click on + Add New User.

 

Add a User

Create a new user account for your Qsuite.  The email will be used to help a user reset their own password via email, as well as determine where the notifications for that user are sent.  Each of your users will need a unique username.  Permissions should be restricted to the role and functions that a particular user needs. Permissions can be edited afterwards as needed.  Select the permissions and user notifications by checking the relevant boxes and click [Add] to save the new user.

 

User Permissions

Qsuite User Permissions are based on the Qsuite products you use.  The following defines each of the permissions available in Q.

 

Full Access

Check full access to quickly create an administrative user with all permissions checked (excluding permissions based on specific pages, since full access can manage all pages).

 

Admin

  • Users & Permissions:  Create and manage other users and their permissions. Reset Qsuite user passwords.
  • Manage Profiles:  Create and manage donor Profiles.  Reset your Profile User passwords.
  • Categories & Subcategories:  Create and manage categories and subcategories.
  • Communications:  Customize and control email communications from your Qsuite.
  • Event Settings:  Create and manage your Event Types, Coordinators, and Locations used when creating Events in EventQ.
  • Manage All Pages:  Manage all available pages, including Giving Pages, Custom Pages, Event Pages, and Tuition Pages.  If you need to create a user who will not see other products’ activity, then you will need to use Manage Specific Pages and assign the page(s) as they are created.
  • Manage Specific Pages:  You can assign management permissions based on individual Giving Pages, Custom Pages, Event Pages, and Tuition Pages.  This is an important permission to limit what a users sees.  For instance, this user would not see activity graphs on the Home page since this does not filter by page or event.  Reporting access will also be limited to only show transactions related to the pages that the user has permission to manage.

 

Reporting

  • Save Reports: Can save report templates for personal and shared use.
  • Financial/Recon:  Access to financial and recon reporting.
  • DonateQ:  Access to DonateQ reporting.
  • EventQ:  Access to EventQ reporting.
  • CustomQ:  Access to CustomQ reporting.
  • TuitionQ:  Access to TuitionQ reporting.
  • Billing Statements:  Can view and print Billing Statements. – This is an upcoming Feature! –
  • SmoothPay:  Access to SmoothPay batch detail reports.
  • Profiles:  Access to Profile reporting.

 

DonateQ

  • Manage Transactions:  View and manage DonateQ transactions.
  • Add Donations:  Enter new DonateQ transactions.
  • Add Giving Pages:  Create new Giving Pages.

 

EventQ

  • Manage Transactions:  Edit and manage registrations and EventQ transactions.
  • Add Registrations:  Add new registrations to a live Event.
  • Manage Events:  Edit and manage existing Events.
  • Add Events:  Create new Events.

 

CustomQ

  • Manage Transactions:  View and manage CustomQ transactions.
  • Add Transactions:  Enter new CustomQ transactions.
  • Add Payment Pages:  Create new Custom Pages.

 

TuitionQ

  • Manage Transactions:  View and manage TuitionQ transactions.
  • Add Installments:  Enter new TuitionQ transactions.
  • Add Tuition Pages:  Create new Tuition Pages.

 

User Notifications

Users can receive an email notification that includes the selected information they need from the following list.

  • New Profile:  List of newly created Profiles created the day before.
  • Upcoming Recurring:  List of upcoming recurring transactions scheduled to run in 2 days.
  • Ending Scheduled Transaction List:  On the first day of the month, receive a list of transactions scheduled to have their last run in the next 90 days.
  • Scheduled Transaction Expiring Card List:  On the first day of the month, receive a list of credit card transactions tied to recurring transactions where the card will expire within the next 90 days.  These are grouped by expiration in the next 30, 60, and 90 days.
  • Daily Transaction Summary:  Summary list of the previous day’s transaction activity.  This includes count and volume, but no specific donor data.

o  Successful Transactions (including New Transactions)

o   In Process eChecks (including New Transactions)

o   Failed Transactions

o   Refunded Transactions

o   Voided Transactions

o   System Cancelled Transactions

  • Daily Transaction List and Summary:  Detail list of the previous day’s transaction activity by summary group.  The detail includes:

o  Transaction ID

o  Name on Account

o   Last 4 of Account

o   Amount

o  Reason (Failed Transactions Only)

  • New Transaction Receipt:  Receive a blind copy of the email confirmation receipt the donor receives on a new transaction.
  • Registration Confirmation: Receive a blind copy of the email confirmation receipt a registrant receives from event registrations.a user? create user? new user?
