User Management

Everyone at your organization who needs access to your Qsuite should have their own User account.  This is important from a security standpoint.  If you have an employee who leaves your organization you can deactivate their login, preventing them from continuing to access your Qsuite.  It also allows you to determine the access level for each of your of Users.

Create a User:

To create a new user you will need to complete the following:

  • First and Last Name: A good standard when creating the User Name is using the first letter of their first name followed by their last name. (i.e., jdoe, hjohnson, etc.)
  • Username: The user’s email address is how they will regain access to their account should they forget their password.
  • Email: When you create an initial password for them remember to remind them to create a new password of their own once they login.
  • Password: create a temporary password for your user.  Level*31 works well.  Instruct your new user to create a new password of their own as soon as they login.  They should be the only person to know their password.

 

User Permissions

You are now ready to outline what areas of the system your new user should have access to. Below are all available permissions for the Qsuite, keep in mind you may not be using all of these solutions:

 

Admin

  • Users & Permissions:Create and manage other users and their permissions
  • Manage Profiles:Create and manage donor profiles
  • Categories & Subcategories: Create and edit existing categories and subcategories
  • Communications:Customize and control email communications
  • Event Settings:Create and manage event types, coordinators, and locations used when creating events in event builder
  • Mange All Pages: Manage all available Giving Pages, Custom Pages, and Events.
  • Manage Specific Pages: Manage specific Giving Pages, Custom Pages, and/or Events. This is an important permission to limit what a user sees. For instance, this user would not see activity graphs when personalizing their home page since these do not filter by page or event.

Reporting

  • Save Reports: Can save report templates
  • Financial/Recon: Access to financial and recon reporting
  • DonateQ: Access to DonateQ reporting
  • EventQ: Access to EventQ reporting
  • CustomQ: Access to CustomQ reporting
  • Billing Statements: Can view your monthly billing statements
  • SmoothPay: Can view your SmoothPay reporting
  • Profiles: Can view and manage the Profiles on your account
  • TuitionQ:  Acces to TuitionQ reporting

DonateQ:

  • Manage Transactions: View and manage DonateQ transactions
  • Add Donations: Can enter new donations for your donors
  • Add Giving Pages: Create new Giving Pages

EventQ

  • Mange Transactions: View and manage registrations
  • Add Registrations: Can enter new Registrations for your Registrants
  • Manage Events: The ability to make edits to existing Events
  • Add Events: Can create new Events

CustomQ

  • Manage Transactions: View and manage transactions
  • Add Transactions: Can enter new transactions
  • Add Payment Pages: Can create new payment pages

CustomQ

TuitionQ

  • Manage Transactions: View and manage transactions
  • Add Installments: Can enter new transactions
  • Add Tuition Pages: Can create new tuition pages

User Notifications

  • New Profile: receive notification of newly created Profiles from the previous day.
  • Upcoming Recurrings:  Receive a list of upcoming recurring transactions a few days before the scheduled process date.
  • Ending Scheduled Transaction List: receive notification of recurring transactions which are about to end due to reaching the end of their Duration.
  • Scheduled Transaction Expiring Card List: receive notification of recurring transactions with credit cards that have a soon to expire expiration date within the next 90-days.
  • Daily Transaction Summary: receive a single email each morning of the previous days transaction activity by product and $ volume.
  • Daily Transaction List and Summary: receive a single email each morning of the previous days transaction activity by summary group with transaction detail.
  • New Transaction Receipt:  receive a copy of the email confirmation receipt the donor receives on a new transaction.
  • Registration Confirmation: receive a copy of the email confirmation receipt the registrant receives on a new event registration.

Be sure to click [Add] to save your new User.
